Handling Different Names on Applicant Documents

Learn how to handle applicants whose Right to Work documents show different names, including which supporting documents to collect, how to store them, and how this supports compliant, auditable checks.

Written by Ben Nicholas

If the applicant provides documents that show different names, you must:

  1. Seek further documentation to explain the name difference.

  2. Accept supporting documents such as:

    • Marriage or civil partnership certificate

    • Divorce certificate

    • Decree absolute

    • Deed poll

    • Adoption certificate

    • Statutory declaration

  3. Retain copies of these supporting documents:

    • Upload and store them on the upload screen alongside the main Right to Work documents.

By keeping full, clear records and following these steps, you help ensure your Right to Work checks are legally compliant, consistent, and defensible if audited.
