What does a new note mean?

Learn what a new note on a DBS application means in uCheck, why it usually indicates an eligibility query, and how to read and reply to the note so your application can progress.

Overview

A new note on an application usually means we have raised a query about that application.

You should read the note, respond to any questions, and update the application so we can continue processing it.


When We Add a New Note

We add a new note when:

  • The position applied for does not clearly show eligibility for the DBS check level requested.

This happens most often with:

  • Standard DBS checks

  • Enhanced DBS checks

For these levels:

  • The applicant must meet DBS eligibility criteria for the check.

  • If the job role or duties do not clearly show this, we need more information from you.


How You Know a New Note Has Been Added

When we query an application:

  1. We update the note section of the application with our query.

  2. We send you an email notification to let you know a new note has been added.

You should then log in and review the note.


How You Respond to a Query

To respond to the query:

  1. Open the application in the platform.

  2. Go to the note section of the application.

  3. Read the query we have added.

  4. Reply directly in the note section with:

    • The requested information, or

    • Any clarification about the role or duties.

When you respond:

  • We are automatically notified of your reply.

  • We will then review your response and action the application accordingly (for example, proceed, ask for further detail, or advise on eligibility).
